Abstract:This series contains files generated by Leah Monder, Keith Elder, Victoria Dominguez and Chris Ruigomez relating to Symphony Hall, Boston Pops Orchestra, Boston Pops Esplanade Orchestra, Boston Symphony Orchestra, and Tanglewood operations. Materials include correspondence, memoranda, contracts, tour itineraries, contract addendums, guest artist riders, stage drawings, invoices, and payroll records.

Administrative History

Concert Operations Administration

In 1998, the Operations Manager, Boston Symphony Orchestra and Operations Manager, Boston Pops positions were merged into a single Operations Manager position, overseeing operations of both the Pops and the BSO (currently held by Christopher Ruigomez). Under Chris Ruigomez, a number of additional operations staff were hired to assist with operations, including a Production Coordinator (Keith Elder) and an Assistant Operations Manager (Amy Sistek). From 1998 to 1999, Sistek was responsible for tours and trip planning, but these responsibilities passed to Jana Gimenez in the Boston Pops office in 1999 when she was promoted to Production Manager, carrying out more of the detailed, day-to-day production duties of the Boston Pops, such as organizing transportation and lodging for tours and trips, conducting site visits, coordinating technical and instrumental requirements at venues, organizing fireworks and other special concert elements, and coordinating with a production team to create and implement stage sets. In 2006, those duties passed back to the Concert Operations office under Keith Elder, the Production Coordinator, from 2006 to 2007. In 2007, Vicky Dominguez assumed responsibility for tour and trip planning for the Boston Pops as Operations Manager. In 2015, Leah G. Monder became Operations Manager and is currently responsible for these functions.

Scope and Content

This series contains files generated by Leah Monder, Keith Elder, and Victoria Dominguez relating to stage sets; events at Symphony Hall; Spring Pops; BPEO and BSO tours; Holiday tours; Holiday pops; television broadcasts; recording; guest artist riders; technical addendums; general Pops run-out information; Tanglewood Music Center logistics; TMC Operas; Tanglewood staff; Tanglewood logistics; and check requests. Some files also include materials collected by Chris Ruigomez, Director of Concert Operations.

Materials include correspondence, memoranda, contracts, itineraries, addendums, riders, stage drawings, administrative records, invoices, and payroll records. Correspondence consists predominately of email exchanges of Victoria (Vicky) Dominguez, Leah Monder, Chris Ruigomez, Ray Wellbaum, and Keith Elder with travel agents; bus, airfare, and ferry companies; venues; and artistic management and relates to the planning of tours, special concerts, and run-outs of the Boston Pops Orchestra, the Boston Pops Esplanade Orchestra, Keith Lockhart and Friends (including members of the Boston Pops Orchestra), and the BSO. Stage set files include pictures of Symphony Hall and outside venues; correspondence about designs; rough sketches of stage sets; floor plans; and, in the case of the TMC Opera files, oversized stage floor plans drawn with graphite. The series also includes summer employee files for Tanglewood and staff meeting notes regarding the Tanglewood Music Center. Also included are memoranda regarding Symphony Hall facilities from the General Manager of the Boston Symphony Orchestra, Mark Volpe. Holiday pops guest artist information, text for guest announcers, and other production information is also included.

Appraisal History

At accession, files pertaining to individual orchestra members' requests on tour (e.g. seat/room/meal preferences) were removed and disposed of. Files were refoldered and minorly weeded to remove duplicate copies and printed driving directions, Janary 11, 2017. Pops Run-out files by venue were removed and interfiled with MGT-POPS 429, January 12, 2017. Tanglewood Popular Artist files were removed and interfiled with MGT-ORCH 239, January 12, 2017.
